Creating & managing suppliers
How to create new supplier records, edit their details, and handle the security controls that protect bank detail changes.
Creating a new supplier
- Go to Suppliers in the left navigation.
- Click New supplier.
- Enter the supplier's name (required).
- Add their ABN — or tick ABN exempt if they don't have one.
- Add their email address — this is how Navigator matches incoming invoice emails.
- Add bank details (BSB, account name, account number) if paid by bank transfer.
- Set any other fields (NDIS registration, phone, address, per-supplier settings).
- Add alerts for anything important about this supplier.
- Save.
Bank details are required for the supplier to be included in bank transfer extracts.
First invoice verification
If an invoice arrives from a supplier who hasn't been validated yet, Navigator automatically:
- Creates a verification task for your team
- Blocks all invoices from this supplier until the task is completed
Your team verifies bank details before unblocking. This protects against fraudulent invoice submissions from unknown parties.
Bank detail changes
Whenever a supplier's BSB, account name, or account number is updated, the same verification process triggers — a task is created and all invoices are blocked until confirmed.
Editing a supplier
- Find the supplier in the Suppliers list.
- Open their profile and click Edit.
- Update fields and save.
Updating bank details will automatically create a verification task. Do not complete it until you have independently confirmed with the supplier.
Notes and searching
You can add notes to a supplier record to capture payment preferences, contact instructions, or history. Notes can include file attachments.
From the Suppliers list you can search by name, ABN, or email, filter by NDIS registration status, and sort alphabetically or by creation date.
