Archiving emails
Archiving is how you move actioned emails out of your active inbox without deleting them. An archived email is hidden from the default view but remains fully preserved — searchable, linkable, and recoverable at any time.
What archiving does
When you archive an email, it's removed from the active inbox. It's not deleted. The email and its full thread remain and can be found by filtering for archived emails.
This is important for compliance: emails in Navigator are never permanently deleted.
Archiving works at the thread level
Archiving an email archives the whole thread — not just a single message. All emails in the conversation are archived together.
How to archive
Archive from the inbox list or within the thread view. The thread disappears from the active inbox immediately.
Auto-archive settings
Per customer — auto-archive
Individual customers can have auto-archive enabled on their record. When on, any email linked to that customer is auto-archived after processing. Linked tasks are also archived at the same time.
Per account — archive emails with tasks
An account-level setting Archive emails with tasks. When enabled, any email that has a task created from it is automatically archived. Configured in Settings.
Finding archived emails
- Use the Archived filter in the inbox
- Use the Search filter to find a specific archived email
- Navigate to a customer or supplier profile — their linked emails (including archived) are visible
Unarchiving an email
Open the email and toggle its archived status off. The thread reappears in your inbox immediately, all data intact.
