How the inbox works
The inbox is where all inbound emails to your account land. It's your window into supplier communications, participant queries, and anything else sent to your team — organised, filterable, and linked to the rest of Navigator.
Inbox vs outbox
- Inbox — emails received from external senders (the default view)
- Outbox — emails sent by your team from Navigator
Switch between them via the source filter.
What you see in the list
| Column | What it shows |
|---|---|
| Sender | Sender's name and email |
| Subject | Email subject line |
| Preview | First few words of the body |
| Recipients | Who it was sent to |
| Date | When received |
| Assignee | Team member assigned |
| Tags | Tags applied |
| Stats | Counts of attachments, replies, and linked tasks |
Unread emails are visually distinguished. Archived emails are hidden by default.
Email states
Every email has two independent states:
- Read / unread — whether the email has been opened
- Active / archived — whether in the active inbox or archived
Independent — an email can be read but not archived, or unread and archived.
The default view
When you open the inbox, the default view shows inbound emails only, active only, newest first, 20 per page.
Filtering the inbox
Use the filters to narrow down:
| Filter | What it does |
|---|---|
| Source | Switch between inbox and outbox |
| Assignee | Show emails assigned to a person, or unassigned |
| Archived | Show archived emails |
| Read | Only read or only unread |
| Customer / Supplier / Contact | Show emails linked to a specific record |
| Tags | Filter by tag, or show only untagged |
| Search | Text search across sender name, sender email, subject |
| Date range | Filter by when received |
Sorting
The inbox is sorted by date received, newest first, by default. You can reverse to oldest first to work emails in arrival order.
